ONE HP FOR SMB CASHBACK PROMOTION
TERMS AND CONDITIONS (“CONDITIONS”) – ENGLAND, SCOTLAND, WALES AND NORTHERN IRELAND
These Conditions set out the terms and conditions applicable to the ONE HP for SMB Cashback Promotion (the “Promotion”), for which Consenna Limited ("Consenna") acts as the “Promoter”.
The Promotion is open to business customers (“Customers”) located in England, Wales, Scotland, and Northern Ireland (“United Kingdom”) that purchase new Qualifying Product(s) as set out below during the Promotional Period from a qualifying HP Reseller (“Qualifying Reseller”) for their own use.
Claims where products purchased are to be resold or rented to a third party, and claims made by Customers who are involved in the sale, resale or provision of IT goods and/or services (as determined by the Promoter in its sole discretion), are ineligible for the Promotion. Qualifying Products may include HP PC Hardware products, HP Poly Video Conferencing products, HP Print Hardware products, HP Accessories, HP Poly Accessories, Microsoft Licences, and HP Licences and Services.
Definitions
For the purposes of this Promotion, the following definitions shall apply:
“Customer” means a business registered within the United Kingdom with 500 or fewer employees. Businesses involved in the provision or sale of IT goods or services (even for internal use), Schools, Colleges, Universities or Multi Academy Trusts, businesses or groups owned or operated by HP, and individual consumers purchasing for personal use are not eligible.
“Qualifying Product(s)” means HP PC Hardware products, HP Poly Video Conferencing products and HP Print Hardware products specifically listed as eligible on QP Devices and purchased new from an authorised HP for SMB Platinum Partner within the Promotional Period. HP Print Hardware products are considered Qualifying Products for the purposes of stand-alone cashback only and do not qualify for Attach Product(s) or Trade-In under this Promotion.
“HP PC Hardware” means HP-branded Desktops, Laptops, Mobile Workstations, and Desktop Workstations.
“HP Poly Video Conferencing” means HP Poly Video Bars, and HP Poly Codec Kits.
“HP Print Hardware” means HP-branded print hardware designated by HP as qualifying for this Promotion.
“Booster Product(s)” means HP PC Hardware products designated by HP as “Next Gen AI Devices” in official HP product documentation or marketing materials, and which are specifically indicated as eligible for the AI Boost Reward on the claiming portal (QP Devices). Only those HP PC Hardware products that are both identified by HP as Next Gen AI Devices and shown as AI Boost-eligible on the claiming portal qualify as Booster Product(s).
“Attach Product(s)” means any qualifying HP product or service specifically listed as eligible on QP Devices that may be purchased in connection with a Qualifying HP PC Hardware product, HP Poly Video Conferencing product or Booster Product to form a bundle under this Promotion, and that falls within one of the following categories: HP Accessories (including bags or cases, mounts, pens, locks, headsets, webcams, mice, keyboards, docking stations, keyboard and mouse combos, HP Poly wired/wireless headsets, Poly phones and speakerphones), HP Monitors listed on QP Devices, and HP Services or Licences (including HP Carepacks and Microsoft 365 Business or Copilot Pro Licences). Attach Product(s) may not be purchased in connection with HP Print Hardware products. Only one (1) of each Attach Product type (one Service, one Monitor, one Accessory) may be linked to each HP PC Hardware product, HP Poly Video Conferencing product or Booster Product forming a bundle under this Promotion.
“Trade-In” means the exchange of Trade-In Device(s) meeting the specification requirements in clause 6, against the purchase of a Qualifying Product, up to a maximum of one hundred (100) Trade-In units per Promotional Quarter.
“Trade-In Device(s)” means the pre-owned desktop or laptop device meeting the specification requirements in clause 6, that will be exchanged under the Promotion for a Reward, after which ownership of the Trade-In Device(s) transfers irrevocably to the ITAD Provider or its nominated agent.
“Promotional Period” means the period from 01st August 2026 (00:01 GMT) to 31st October 2026 (23:59 GMT), or until limited stock is exhausted, or such other period as may be determined and notified on Promotion Page, whichever occurs first.
“Promotional Quarter” means each of the following four calendar quarters:
Q1: 01st November 2025 – 31st January 2026
Q2: 01st February 2026 – 30th April 2026
Q3: 01st May 2026 – 31st July 2026
Q4: 01st August 2026 – 31st October 2026
“Reward” means the cashback amount payable to the Customer, calculated as a percentage of the ex-VAT purchase price of the eligible product or bundle (as applicable), subject to the limits set out in these Conditions.
“Qualifying Reseller” means an authorised HP for SMB Platinum Partner reseller.
- Purchases and Reward Caps
1.1 Qualifying Cashback
Customers who purchase a Qualifying Product will be entitled to a 10% cashback Reward on the ex-VAT purchase price of that product. Where the purchased HP PC Hardware product is designated as a Next Gen AI Device (Booster Product) and is shown as eligible on the claiming portal, the Customer will receive an additional 5 % cashback Reward on the Booster Product.
Purchases of multiple Qualifying Products or Booster Products will entitle the Customer to an equivalent multiple of the Reward specified in Table 1 below, provided that the Qualifying Products appear on the same Qualifying Reseller’s invoice uploaded in accordance with clause 3.
A Customer is limited to claiming against a maximum of 250 Qualifying HP PC Hardware products or HP Poly Video Conferencing products across all of their claims per Promotional Quarter, and a maximum of 250 Qualifying HP Print Hardware products per Promotional Quarter.
The total unit count of all HP PC Hardware products (including Desktops, Laptops, Mobile Workstations and Desktop Workstations), and HP Poly Video Conferencing products must not exceed 250 units per Promotional Quarter per Customer.

1.2. Qualifying Bundles and Booster Bundles
Customers may be eligible to increase their Reward value by purchasing Attach Product(s) together with, or within thirty (30) days of, their Qualifying Product or Booster Product.
Attach Product(s) are limited to three fixed types as follows:
one (1) Service;
one (1) Monitor; and
one (1) Accessory.
A Customer may claim an Attach Product(s) Reward for up to one of each Attach Product(s) type per Qualifying Product or Booster Product. Where all three Attach Product types are purchased, the Customer may claim Rewards for all three in respect of that same Qualifying Product or Booster Product. Multiple bundles may be claimed within the same purchase, provided each Qualifying Product or Booster Product is linked to no more than one (1) of each Attach Product type.

For the avoidance of doubt:
Each Attach Product(s) claim must be linked to a corresponding eligible Qualifying Product or Booster Product.
Attach Product(s) purchased without a corresponding Qualifying Product or Booster Product are not eligible for any Reward.
Attach Product(s) must be specifically listed as eligible on QP Devices.
Attach Product(s) must be purchased by the same business, for the same end-user, and from the same Qualifying Reseller as the linked hardware.
Attach Product(s) may be purchased after submission of the hardware claim provided that the Attach Product(s) invoice is dated within 30 days of the Qualifying Product or Booster Product invoice date and is from the same Qualifying Reseller as the Qualifying Product or Booster Product purchase. In such cases, Customers will be provided with a secure link at the point of submitting the claim for their Qualifying Product or Booster Product that allows them to upload the Attach Product(s) invoice and associate it with the original claim.
HP Print Hardware Products are not eligible for Attach Product(s), Trade-In or Boost Rewards. For the avoidance of doubt, Customers who purchase an HP Print Hardware product are not eligible to claim any Reward in relation to an Accessory, Monitor, or Service in connection with that Print Hardware product.
1.3 Trade-in Rewards
Customers may further increase their Reward value by completing a Trade-In of a qualifying desktop or laptop meeting the required specification against the purchase of a Qualifying HP PC Hardware Product or Booster Product, up to a maximum of 100 Trade-In units per Promotional Quarter. Trade-In Rewards are paid in addition to any cashback under Clauses 1.1 and 1.2. HP Print Hardware products are not eligible for Trade-In.

All Attach and Trade-In claims must comply with the claim and invoice requirements set out in clause 3.
Each claim on Qualifying Products or Booster Products with Attach Product(s) Rewards may not exceed a maximum of £450 per bundle. For the avoidance of doubt, the total Reward value of one Qualifying HP PC Hardware product or HP Poly Video Conferencing product or Booster Product, one HP Print Hardware product, one Accessory, one Monitor, one Service and one Trade-In unit shall not exceed £450 Reward.
2. Claims
On purchase of a new Qualifying Product from a Qualifying Reseller, the Customer should submit a claim form via Promotion Page together with proof of purchase in the form of a Qualifying Reseller's invoice clearly showing the Customer's details, the number and type of Qualifying Product(s) purchased, the purchase price, the date of purchase, and details of the Qualifying Reseller from whom the Qualifying Product(s) were purchased. Proof of purchase must clearly identify the eligible Customer. For limited companies and partnerships, the invoice should show the business name. Where sole traders are eligible for the Promotion, the invoice may be issued in the individual's name, provided the claim is submitted in the same name as the sole trader business and the purchase was made for business purposes. The Promoter reserves the right to request additional evidence to verify eligibility where this is not clear. Claim forms must be submitted within 30 days of the date of purchase, as evidenced by the date of the Qualifying Reseller's invoice.
Regarding Microsoft 365 Business/Microsoft Copilot Pro Licences:
Microsoft 365 Business Licences/Microsoft Copilot Pro Licence can be purchased as either a recurring subscription or a one-off annual fee.
3. Claim validation and confirmation
Once the claim form and supporting documents have been received, the Promoter will check the claim and confirm it meets the requirements of the Promotion. The Promoter will endeavour to send the Customer confirmation of receipt and confirmation of whether the Customer’s claim has been successful within 5 working days of submission.
4. Trade-In Process and Instructions
In the event that the Promoter confirms that the Customer’s claim meets the requirements of the Promotion, the Promoter will email the Customer advising the Customer of the same and providing details of how the Customer can trade in their device intended to be traded in as part of the Promotion (“Trade-In Device(s)”), if applicable. If applicable, the Promoter will provide details to the Customer of the IT Asset Disposition (“ITAD”) provider that will coordinate the uplift or delivery of the Trade-In Device(s) and will provide a copy of the terms and conditions of the ITAD provider that are applicable to the uplift, delivery, cleansing and recycling of the Trade-In Device(s) (“ITAD Terms”). The Customer will enter into a direct contract with the ITAD Provider. The Customer must follow the instructions of the ITAD Provider concerning return and packaging of the Trade-In Device(s). The Promoter will have no responsibility where the Customer fails to follow those instructions or to comply with the ITAD Terms. For Claims of 10 Trade-In Device(s) or more a free pick-up service is available. For claims of up to 9 devices the Customer will be sent postage labels which must be affixed to the parcels containing its Trade-In Device(s). The Customer assumes responsibility for packaging the Trade-In Device(s) suitably for collection. The pick-up service includes a maximum 2 pick-up attempts by the courier, any additional pick-up attempts will incur a direct cost to the Customer or be refused. The Customer must arrange their Trade-In Device(s) collection in order that this is received by ITAD Provider within 60 days of receipt of the email. In the event that Trade-In Device(s) are received after the specified period or in the event that the Trade-In Device(s) do not meet the requirements specified at Condition 6, the Promoter will contact the Customer to advise that their Trade-In Device(s) have been rejected or, at the Promoter’s sole discretion, are subject to revaluation.
5. Trade-In Eligibility Requirements
To be eligible for the Promotion, the Trade-In Device(s) must be a desktop or laptop, that is complete, that powers on, is in full working order and no more than 8 years old. The appropriate power adapter must also be included. In addition, to be eligible, the Trade-In Device(s) must be owned by the Customer, have been owned by the Customer since purchase. There must also be no outstanding finance in relation to the Trade-In Device(s). The Promoter reserves the right to request proof of ownership of the Trade-In Device(s) and to reject any Claim where the Promoter is not satisfied that the Customer is the rightful owner. Thin clients, tablets, displays, password-protected, or BIOS-locked units do not qualify for the Promotion. The Customer is responsible for cancelling any contracts relating to the Trade-In Device(s) and for deregistering the device from any MDM programmes and for removing any data and information from the Trade-In Device(s) and for retaining backup copies should the Customer require this. The Promoter shall not be responsible for any loss or damage to data because of any failure to do this. A Customer may not trade in more than 100 Trade-In Device(s) under the Promotion per Promotional Quarter. A Customer may only trade in one Trade-In Device for each Qualifying Product or Booster Product purchased up to this maximum.
6. Trade-In Device(s) assessment and revaluation
On receipt of the Customer’s Trade-In Device(s) the Promoter shall assess the device to confirm it meets the requirements of the Promotion and corresponds with the information the Customer has provided to the Promoter regarding the Trade-In Device(s). If the Trade-In Device(s) do not meet the requirements of the Promotion or correspond with the information provided by the Customer to the Promoter at registration the Promoter reserves the right to (i) reject the Trade-In Device(s) in which case the Customer will not be eligible for a Reward; or (ii) revalue the Trade-In Device(s) in which case the Customer may be eligible for a lower Reward. If the Promoter rejects the Trade-In Device(s), the Promoter shall notify the Customer and shall arrange for the rejected device to be recycled free of charge unless the Customer notifies the Promoter within 7 days that the Customer wishes the Trade-In Device(s) to be returned at a cost to the Customer. If the Customer does not accept any revaluation the Promoter shall recycle the Trade-In Device(s) free of charge unless the Customer notifies the Promoter within 7 days that the Customer wishes the Trade-In Device(s) to be returned at a cost to the Customer.
7. Incomplete or ineligible claims
Customers who provide an incomplete claim form and/or supporting documents or who are otherwise ineligible for the Promotion will not qualify for the Promotion and their claim will be refused.
8. Reward payment method
The Promoter will issue the Reward to the Customer via a secure Payit payment link (operated by NatWest). Upon validation of the claim, the Customer will receive a secure link through which they may either link their bank account directly to receive the payment or manually enter their bank details within the Payit portal. The Promoter shall not be liable for any failure or delay in payment resulting from the Customer’s failure to provide accurate and complete payment details, or to complete the Payit process correctly and within the required timeframe of 30 days from the date in which payment link is issued. Failure to provide such details or to complete the Payit process may result in the Customer being disqualified from the Promotion and forfeiting their entitlement to the Reward.
9. Reward payment Timeframe
The Promoter shall endeavour to credit the Customer's account with the Reward within twenty-one (21) working days of receipt of an approved claim. The Promoter shall not be liable where claims are processed outside this timeframe.
10. Tax responsibility
The Customer shall be responsible for fulfilling any tax obligations required by applicable law in relation to the Reward.
11. Acceptance of terms
By registering for the Promotion, Customers are deemed to have accepted and agree to be bound by these Conditions and any other terms applicable to the Promotion or otherwise specified by the Promoter.
12. Returns and reward recovery
Return of the Qualifying Product to the Qualifying Reseller or retailer following submission of the claim will disentitle the Customer to the Reward. In such instance, no claim may be made for a Reward and any Reward that has been paid must be repaid by the Customer to the Promoter. In the absence of such repayment, the Promoter may deduct any amounts to be repaid from subsequent Rewards due to the Customer.
13. Audit rights and verification
The Promoter reserves the right to audit all claims to ensure that the terms and conditions of the Promotion have been met and to request additional information regarding any claims and/or supporting documents. From time to time, HP or the Promoter may also audit the eligibility or compliance of any Qualifying Reseller participating in the Promotion. From the commencement of any audit, or, during such an audit, the acceptance or processing of claims relating to purchases from the relevant Qualifying Reseller may be delayed or placed on hold. If the outcome of the audit results in suspension or removal of that reseller from the Promotion, any associated claims may be refused or cancelled at the Promoter’s sole discretion with no reward paid. The Reward will only be paid where the Promoter is satisfied that the Customer, the Qualifying Product(s) and any Trade-In Device(s) meet the requirements of the Promotion. If a claim is refused on the grounds that the terms of the Promotion have not been met, the Promoter’s decision is final.
14. Modification, suspension or termination of promotion
The Promoter reserves the right to withdraw, amend or terminate the Promotion and will endeavour to provide 14 days' notice of the same. However, the Promoter reserves the right to modify, suspend, or terminate the Promotion at any time due to unforeseen circumstances or legal requirements or for other good reason in the Promoter’s sole and absolute discretion. The Promoter reserves the right to change these Conditions and the amended terms will apply upon notification of the same.
15. Disqualification and technical failures
The Promoter reserves the right to disqualify incomplete claims. No responsibility will be accepted for claims that are incomplete, lost or late. The Promoter is not responsible for or liable for any technical, hardware, software, server or website failure to the extent this prevents or delays the Customer from participating in the Promotion.
16. Fraudulent or misleading claims
Submission of false, incomplete, misleading or fraudulent documentation may lead to disqualification from the Promotion and future promotions and could lead to legal action being taken against the submitter. In the event that any overpayments or incorrect or false payments are made, the recipient shall repay such sums within 7 days of a notice by the Promoter requesting them to do so and shall indemnify the Promoter from any costs, losses, expenses or tax liabilities incurred by the Promoter as a result of any such overpayment or incorrect or false payment being made and/or for recovery of such sums.
17. Promoter’s determination and final decisions
It is at the Promoter’s sole and absolute discretion as to whether any requirements in respect of the Promotion have or have not been met. The decisions of the Promoter on this matter and generally regarding all aspects of the Promotion are final and binding.
18. Limitation of liability
The Promoter’s responsibility is to pay Rewards in respect of eligible Claims and the Promoter’s liability to you is limited to the amount of any valid and eligible Claim. The Promoter shall not be liable for any loss, damage, injury, or any other claim related to the Rewards provided or any activities conducted as part of this Promotion, including but not limited to claims relating to refusal, cancellation, withdrawal or handling of the Promotion or any Reward or any failure or inability to take advantage of the Promotion for any reason. Customers accept Rewards at their own risk and are solely responsible for any liabilities arising from such Rewards. This limitation of liability does not exclude any liabilities that cannot be lawfully excluded under applicable English law.
19. Governing law and jurisdiction
The HP for SMB Cashback Promotion and these Conditions are governed by the Laws of England and Wales and the Customer and Promoter submit to the exclusive jurisdiction of the courts of England and Wales in respect of any disputes.
