Proof of purchase must clearly identify the eligible Customer. For limited companies and partnerships, the invoice should show the business name. Where sole traders are eligible for the Promotion, the invoice may be issued in the individual’s name, provided the claim is submitted in the same name as the sole trader business and the purchase was made for business purposes. The Promoter reserves the right to request additional evidence to verify eligibility where this is not clear. Claim forms must be submitted within thirty (30) days of the qualifying hardware purchase date, as evidenced by the Qualifying Reseller’s invoice. Where Attach Product Rewards are claimed, all eligible Attach Product(s) must have been purchased, and all corresponding invoices must be submitted together with the original hardware Claim within this same thirty (30) day period. The Promoter will endeavour to send the Customer confirmation of receipt and confirmation of whether the Customer’s claim has been successful within 5 working days of submission.
4. Trade-In Process and Instructions
Following approval of a Claim which includes a Trade-In, the Claim will be passed to the appointed IT Asset Disposition provider (“ITAD Provider”). The ITAD Provider will contact the Customer within four (4) Business Days of receiving notification of the approved Claim to arrange collection of the Trade-In Device(s).
Collections of Trade-In Device(s) must be arranged directly with the ITAD Provider and collection must occur within sixty (60) calendar days of the ITAD Provider first contacting the Customer.
The Customer must cooperate with the ITAD Provider and follow all reasonable instructions concerning the preparation, packaging and collection of the Trade-In Device(s).
For Claims involving fewer than ten (10) Trade-In Devices, the Customer is responsible for securely boxing, packaging and preparing the Trade-In Device(s) for transport and applying any shipping labels provided by the ITAD Provider. For Claims involving ten (10) or more Trade-In Devices, collection arrangements will be agreed directly with the ITAD Provider.
If a scheduled collection is missed or fails due to Customer fault or unavailability, including where Trade-In Device(s) are unavailable, incorrectly prepared or access cannot be provided, the Claim may be deemed ineligible for further processing. A secondary collection may be requested, however any additional costs associated with a second or subsequent collection attempt must be paid by the Customer.
Following collection and receipt at the ITAD Provider’s facility, the ITAD Provider will assess the Trade-In Device(s) against the eligibility requirements of the Promotion. This assessment process may take up to thirty (30) calendar days.
Physical collection or receipt of a Trade-In Device does not constitute confirmation that the device is eligible for the Promotion or that a Reward will be payable. Collection of a Trade-In Device does not guarantee payment of a Reward, which remains conditional upon full compliance with all requirements of the Promotion, including successful validation of the Claim and confirmation that the Trade-In Device meets the applicable eligibility requirements.
5. Trade-In Eligibility Requirements
To be eligible for the Promotion, each Trade-In Device must:

The Customer is solely responsible for:
Neither the Promoter nor the ITAD Provider shall be responsible for any loss or damage to data arising from any failure by the Customer to comply with these obligations.

6. Trade-In Device Assessment
There is no revaluation under this Promotion.
Following receipt, the ITAD Provider will assess each Trade-In Device against the eligibility requirements of the Promotion.
If a Trade-In Device is determined not to meet the eligibility requirements, including where an incorrect device has been submitted, the Customer will be notified. No Trade-In Reward will be payable in respect of that device and the associated Trade-In Reward entitlement will be forfeited.
The Customer may, within seven (7) calendar days of notification, elect either:
If the Customer does not provide instructions within the seven (7) calendar day period, the Trade-In Device will be recycled free of charge.
Title to and ownership of Trade-In Device(s) does not transfer at the point of physical collection. Ownership transfers irrevocably to the ITAD Provider only once the ITAD Provider has confirmed that the Trade-In Device(s) meet the eligibility requirements and are accepted for processing.
Once accepted, Trade-In Device(s) cannot be returned under any circumstances.
7. Incomplete or ineligible claims
Customers who provide an incomplete claim form and/or supporting documents or who are otherwise ineligible for the Promotion will not qualify for the Promotion and their claim will be refused.
8. Reward payment method
Rewards will be paid to the Customer by secure BACS transfer using the IBAN and BIC code provided by the Customer when submitting the Claim.
Once the applicable Reward entitlement has been validated and approved, the Promoter will arrange payment using those details.
For Rewards conditional upon completion of a Trade-In, the Promoter will arrange the transfer within twenty-one (21) Business Days of the ITAD Provider confirming that the relevant Trade-In Device(s) are eligible and accepted.
For Rewards that do not require a Trade-In, the Promoter will arrange the transfer within twenty-one (21) Business Days of approval of the applicable Reward entitlement.
The Customer is responsible for ensuring that the IBAN and BIC code provided with the Claim are accurate and complete. The Promoter shall not be liable for any failure or delay in payment resulting from inaccurate or incomplete payment details.
For the avoidance of doubt, where a Trade-In Device has been assessed and accepted by the ITAD Provider, ownership of that device will have transferred irrevocably to the ITAD Provider in accordance with Clause 6. Any subsequent failure or delay in payment resulting from inaccurate or incomplete payment details shall not reverse the transfer of ownership or entitle the Customer to the return of any accepted Trade-In Device(s), regardless of whether the associated Reward has been paid.
9. Communication
All communications relating to the Promotion, including claim confirmations, query notifications, approval notices and ITAD collection correspondence, will be sent to the email addresses provided by the Customer at registration or Claim submission.
The Customer is solely responsible for ensuring that relevant Promotion-related email addresses are added to approved sender lists and that inbox, junk and spam folders are regularly monitored.
The Promoter shall not be liable for any loss, delay, expiry or disqualification arising from non-receipt of emails or payment links where such communications have been correctly issued to the contact details provided by the Customer.
For the purposes of the Promotion, any email will be deemed received at the time it is sent by the Promoter or its appointed provider.
Failure by the Customer to access, action or complete any communication within the applicable timeframe shall not extend or vary any deadline under these Conditions.
10. Tax Responsibility
The Customer shall be responsible for fulfilling any tax obligations required by applicable law in relation to the Reward.
11. Acceptance of terms
By registering for the Promotion, Customers are deemed to have accepted and agree to be bound by these Conditions and any other terms applicable to the Promotion or otherwise specified by the Promoter.
12. Returns and reward recovery
Return of the Qualifying Product to the Qualifying Reseller or retailer following submission of the claim will disentitle the Customer to the Reward. In such instance, no claim may be made for a Reward and any Reward that has been paid must be repaid by the Customer to the Promoter. In the absence of such repayment, the Promoter may deduct any amounts to be repaid from subsequent Rewards due to the Customer.
13. Audit rights and verification
The Promoter reserves the right to audit all claims to ensure that the terms and conditions of the Promotion have been met and to request additional information regarding any claims and/or supporting documents. From time to time, HP or the Promoter may also audit the eligibility or compliance of any Qualifying Reseller participating in the Promotion. From the commencement of any audit, or, during such an audit, the acceptance or processing of claims relating to purchases from the relevant Qualifying Reseller may be delayed or placed on hold. If the outcome of the audit results in suspension or removal of that reseller from the Promotion, any associated claims may be refused or cancelled at the Promoter’s sole discretion with no reward paid. The Reward will only be paid where the Promoter is satisfied that the Customer, the Qualifying Product(s) and any Trade-In Device(s) meet the requirements of the Promotion. If a claim is refused on the grounds that the terms of the Promotion have not been met, the Promoter’s decision is final.
14. Modification, suspension or termination of promotion
The Promoter reserves the right to withdraw, amend or terminate the Promotion and will endeavour to provide 14 days’ notice of the same. However, the Promoter reserves the right to modify, suspend, or terminate the Promotion at any time due to unforeseen circumstances or legal requirements or for other good reason in the Promoter’s sole and absolute discretion. The Promoter reserves the right to change these Conditions and the amended terms will apply upon notification of the same.
15. Disqualification and technical failures
The Promoter reserves the right to disqualify incomplete claims. No responsibility will be accepted for claims that are incomplete, lost or late. The Promoter is not responsible for or liable for any technical, hardware, software, server or website failure to the extent this prevents or delays the Customer from participating in the Promotion.
16. Fraudulent or misleading claims
Submission of false, incomplete, misleading or fraudulent documentation may lead to disqualification from the Promotion and future promotions and could lead to legal action being taken against the submitter. In the event that any overpayments or incorrect or false payments are made, the recipient shall repay such sums within 7 days of a notice by the Promoter requesting them to do so and shall indemnify the Promoter from any costs, losses, expenses or tax liabilities incurred by the Promoter as a result of any such overpayment or incorrect or false payment being made and/or for recovery of such sums.
17. Promoter’s determination and final decisions
It is at the Promoter’s sole and absolute discretion as to whether any requirements in respect of the Promotion have or have not been met. The decisions of the Promoter on this matter and generally regarding all aspects of the Promotion are final and binding.
18. Limitation of liability
The Promoter’s responsibility is to pay Rewards in respect of eligible Claims and the Promoter’s liability to you is limited to the amount of any valid and eligible Claim. The Promoter shall not be liable for any loss, damage, injury, or any other claim related to the Rewards provided or any activities conducted as part of this Promotion, including but not limited to claims relating to refusal, cancellation, withdrawal or handling of the Promotion or any Reward or any failure or inability to take advantage of the Promotion for any reason. Customers accept Rewards at their own risk and are solely responsible for any liabilities arising from such Rewards. This limitation of liability does not exclude any liabilities that cannot be lawfully excluded under applicable English law.
19. Governing law and jurisdiction
The HP for SMB Cashback Promotion and these Conditions are governed by the Laws of England and Wales and the Customer and Promoter submit to the exclusive jurisdiction of the courts of England and Wales in respect of any disputes.
